Position Overview:
NCSG Crane & Heavy Haul Services Ltd. is currently searching for a self-sufficient individual to join our operations team as a Dispatch Administrator in the Fort McMurray, AB region working out of our Ruth Lake Branch. The Dispatch Administrator will be responsible for being an active participant in the dispatch functions of the region to maintain branch and site deliverables and providing administrative support to Branch Management. The successful candidate will require strong organizational and communication skills with previous dispatch experience. The ability to thrive in a fast-paced and responsive environment will be required. The Dispatch Administrator will ensure NCSG is always represented in a professional manner.

Your success will be defined by your ability to:
- Dispatch cranes, operators, support equipment, and personnel to meet customer needs.
- Maintain training and various certification records and cross reference for operational purposes.
- Ensure operators are dispatched according to the union collective agreement.
- Secure applicable site permit applications for crane travel and personnel.
- Identify, gather, and track chargeable expenditures for customer billing.
- Updates crane operator schedules in a timely manner.
- Communicates effectively – and in a timely manner – with other regional NCGS Dispatch / Administrators (including maintenance department and transport division).
- Scan / file documentation as required.
- Attend relevant planning / financial meetings as required.
- Maintaining safety as the #1 priority.
- Verify accuracy in individual timesheets and cross-reference those with applicable LEM’s / CWO.
- Reconciles and coordinates all credit card and fuel statements and ensures that employees have corresponding receipts for verification.
- Distributes and updates the information on shared drive regarding credit cards and fuel statements.
- Types and assembles a variety of documents including memos, letters, presentations, spreadsheets, and reports.
- Assist in administrative duties involving onboarding and training.
- Ensures that the work area is clean, secure, and well maintained.
- Ability to work remotely, as required.
Qualifications:
- 1-3 years’ experience in a fast-paced branch/plant site environment carrying out a similar role.
- Minimum High School Diploma; additional related experience / training an asset.
- Previous experience with scheduling or dispatching an asset.
- Accommodating, personable and comfortable in dealing with a variety of different peers.
- Must be highly organized / focused and able to handle a full workload while having strong attention to detail.
- Proficient in various computer applications (Microsoft word and excel).
- Excellent oral and written communications abilities.
- Excellent interpersonal and customer service skills.
- Team player.
Position Details:
- Anticipated 10 and 4 work schedules, with approximately 10-hour coverage per day (based on operational requirements). Weekend shifts and evening hours are a part of the position and maybe needed regularly as operational requirements demand.
- Local residents preferred, if not local must be willing to relocate.
- Positioned at our Ruth Lake Branch.
